Making Deposits & Writing Receipts…
2. Use the outermost right search bar to type in your person’s last or first name- make sure the “Find By Field” bar is changed to “last name” or “first name” in accordance.
3. Once you find the person who the cash or check is for, click on their name. It should get highlighted in gray. You’re going to want to click on “make sales” to start processing the money.
4. Reference “Placing Sales Into eBusiness”. Once you are done recording the cash/check into eBusiness, head to the main office’s mailroom.
5. Grab a deposit slip and fill it out. Then, take an envelope and locate some tape cause you might need it. Place everything in, seal (with tape), and place it into the deposit box.
6. You’re going to need to write receipts for Yerds who bring in their down payment for NSPA Conventions (because they’re going to be at least $250 or more). This receipt is a paper verification that we’ve received the payment and made the deposit.

Marketing & Advertising…

Baby Ads…
- You want to start advertising that Baby Ads are on sale when the school year starts. Don’t wait to do so because you want to make sure seniors to think that it’s a first come, first serve basis (and it really is) and that they shouldn’t wait to reserve their Ad as soon as possible. Post something up in the case outside of 603, and make flyers to post around school.
- TARGET ENGLISH CLASSES. Find out which teachers have Dual Enrollment or AP Lit or Academic English blocks and talk to those teachers. Ask them if you can drop off about 100-140 copies of the Baby Ad Form (this number should cover how many students they have in total throughout all their sections) so they can pass them out to the seniors.
- Once orders start coming in, make sure to deposit the money for each Ad AS SOON AS POSSIBLE and record the check number if needed. If the person is making a half payment (yes, we have this option), record the half payment and make note that they owe you the other half. You don’t want to forget to collect the rest of the payment.
- Reserve the Ad for them on an available spread/spot. PLEASE make sure to consult your Design Editor and go over things with them. You could also talk to your EIC- they’re there to help. You want to make sure the design of the Baby Ads is consistent with the rest of the book.
Marketing & Advertising…
- This will most likely be the hardest part of the job for you (it was for me). One thing to keep in mind is to think of yourself as the buyer- what type of Ad will grab your attention? How can you market Baby Ads and/or the yearbooks to get people to want to buy them?
- Another thing that will come in use is your creativity. If you aren’t so creative, ask the other Yerds to help you come up with marketing ideas. If you would like, we can brainstorm some stuff up before I leave so you can use those ideas next year.
- Talk to your friends. Ask them why they don’t think about purchasing the yearbook from the get go- you’ll most likely get this answer: “It’s too expensive”. While you may agree, you need to make them aware that the sooner they buy it, they’ll get it for the least amount of money possible. Prices increase throughout the year- it’s important that students know that.
- This is important: know how to defend your yearbook. I’m not sure how beautiful the yearbook will be from this year forward, but know that this is your product. You need to come to accept and love it, so that you can sell it to others. While it may not be in your taste, find something you appreciate about the book and be like “hey, I think this year’s yearbook is worth it because (insert reason here). So you should buy it.” (if you were to be in a conversation with your friends about buying the book)
- You need to produce shirts for Yearbook twice a year. Once for the fall, which is a theme based shirt, and one in the spring, which will be our Distribution shirt. The spring shirt can be of anything, it just has to be yearbook related. Have fun with it.
- Design the shirt on CustomInk, and take a screenshot of it. If you feel like it’s good, show it to the rest of the Yerds and make sure they are willing to pay for it.
- Once you’ve gotten approval from the Yerds, then email Fulton because he has to approve it.
- Once Fulton says “ok”, contact [email protected] for a price quote. Attach the screenshot of the shirt, and make sure you mention how many shirts you want. He’s going to give you a price based on these two pieces of information. His prices will be lower than CustomInk’s- but we’re also required to go get our shirts from him.
